I really need help with my It Inventory. I love Spiceworks but Spiceworks do not keep track of every IT asset.

As most of you know IT equipment get moved around, it breaks and etc. I really need an way that I can properly monitor all my computers, monitors, UPS and printers etc

At the moment I have a excel spread sheet but if I forget to update it after i move the device or something it is a complete mess.

My Inventory are base on office numbers. And Every Device have a Unique name (PACDES01, PACMON05 or PACPRD10 etc)

If it’s on the network, Spiceworks will track it. It also has good UPS detection for desktop systems. If it can’t see it, you can manually add an asset and create asset types. I’m tracking all of our monitors, external hard drives, and other equipment using Spiceworks.

And to add to this, you can create new device types while adding custom assets for things like monitors, external hard drives, USB printers, or anything else you want to inventory using Spiceworks. You can then create custom groups that will allow you to see a bird’s eye view of every item that meets certain criteria (i.e. all monitors, all monitors at location XX, etc.). It’s a very powerful tool, and you just have to figure out how you want to be able to see the data.

When things get moved, you will need to be diligent about updating your inventory data to reflect the change. So, if Bob and Steve switch monitors because Bob needs another 19" but Steve needs a 17", you would have to make sure and change your location / owner of those devices in Spiceworks inventory.

Also, once you get everything into inventory, you would want to make sure you are adding these custom assets to tickets if you work on them for any reason. So if you have a UPS that is not on the network but that you have inventoried with Spiceworks that has been worked on 5 times this quarter, you then have a business case for potentially replacing the unit because you have tied the UPS to each ticket that involved working on it.

I know Spiceworks can do all this thing, I just have to find the time to update it and restructure my network and groups.

Do you have property tags with an asset number on everything? I keep up with serial numbers and whatnot, but having an asset tag really simplifies it. If you don’t have them, I’d highly suggest it, it was pretty cheap for us.

No I do not have tag’s. I just create a lable/tag from my excel sheet and do it that way.
