I know this has already been asked/suggested but I cant find anywhere relating to an answer.

It would be really nice and more efficient if we were able to add multiple items for each purchase instead of having to create a new or seperate purchase for each item.

Anyone know how this sits…anything in pipeline?

Hi Nird -

Let me make sure I understand what you’re asking: you’d like to add multiple products to your quote, correct? If so, you’re in luck because you can do it today using the tool! Just click the “add item” button under the item you’ve already entered. Enter as many items as you’d like.

Thanks for the info…however, the issue Im having is actually within purchase not quotations. I would like to be able to include several item in a single purchase instead of having to create a new purchase for each item on a single order.

If you’re trying to add multiple different items to a single purchase, currently the best way to go about this is to create a separate entry for each item, and specify the same “Purchase Order” number for all of the items. (Many people also attach them to the same ticket.) You can then run reports based on the Purchase Order field to see all the items for a specific order.

	Monitor x2 @ $299 PO:123
	Keyboard x2 @ $19 PO:123
	Laptop x2 @ $999 PO:123

In the future, we intend to have a “purchase order” view of the purchase list that will group all the items in an order together in a very visually intuitive way, but we’re not there yet.

Hi Eric,

I am using the method that you are outlining. The problem with this approach is when you buy multiple identical devices (e.g. 3 x PCs), but each device needs to charged to different departments/cost centre.

Tracking where to charge each purchase is the main benefit of the purchasing module for me. This shortcoming has made the module very clunky.

When delivered, I want to add these purchases to Spiceworks, I enter the serial number. The problem is that I can only do this for one of the 3 grouped items. This is because although you can buy multiple items, they are grouped and effectively treated as a single item. When I click new asset, it only allows me to do this once for the grouped items.

Am I missing something here?

I just started using the purchasing module and have run into exactly the situation that Shane T described. Am I missing something on how this should be handled, or is there a feature request I can vote on to get this addressed in a future release?

For this particular scenario, it gets a little more complicated.

Instead of doing this:

Monitor x2 @ $299 PO:123
Keyboard x2 @ $19 PO:123
Laptop x2 @ $999 PO:123

You probably want to break it out to each type of item for each department (but again, use the same PO number for all entries):

Monitor x1 @ $299 - Sales - PO:123
Keyboard x1 @ $19 - Sales - PO:123
Laptop x1 @ $999 - Sales - PO:123

Monitor x1 @ $299 - Marketing - PO:123
Keyboard x1 @ $19 - Marketing - PO:123
Laptop x1 @ $999 - Marketing - PO:123

This isn’t as easy as we’d like, so we plan to implement the “purchase order” view described above, which will simplify this situation.

Thanks for the reply. I see what you are saying as far as breaking apart the multiple purchases. I’m assuming that the work flow should be as follows

Add items to purchase list individually assigned to their respective department/ticket but with the same PO (like you have shown) > select Request a Quote from the Purchase list page. This would generate a quote with all the items (listing like items separately?). When the order comes in, you can then go back and add each asset to the inventory (as I understand it, you can currently only add one asset item for each line item in the purchase list).

If I’ve understood that all correctly, it sound like it may be workable (if slightly clunky). However, since I just made my first purchase earlier today using the Request a Quote feature and I then populated the purchase list from the from the completed and approved quote, is there a way I can break down the existing line items in the Purchase list page like you described above so I can assign individual items that were purchased as part of a group to specific users/tickets/departments? Or am I pretty much SOL for this one and need to adjust my work for for future orders.

I wish I could list multiple items on a purchase along with tax and shipping. I have been doing separate purchases with the same PO number and then I have to split the shipping evenly and calculate the taxes for each item and included it in the price for that purchase. What a PAIN!

Within each item imported into the purchase list, you should be able to edit the details of that purchase and link to a ticket / person / device.

That works great if you bought 2 keyboards for a particular ticket, but if you bought two keyboards for different tickets, when you import purchased items from the RFQ into your purchase list, you will see one purchase for a quantity of 2. So if you want to link one keyboard to one ticket and the second keyboard to another, you have to make a duplicate purchase item with the same information (changing the quantity to 1 on the purchase imported from the RFQ and for the one manually created of course) and then link to the second ticket. I’d love to be able to selectively import purchases from the RFQ. Maybe I bought 2 keyboards, but I would like to be able to import that as two separate purchases with a quantity of 1 so I can link to separate tickets. That would save so much time (as mentioned above).

I too am looking for this very solution.

Pain in the a$$ to have to do each purchase separately.

I’ll be looking at using the https://community.spiceworks.com/how_to/1733-import-purchases-into-spiceworks-from-a-csv-file method for the foreseeable future, once I get it figured out.

I too am looking for a solution to this, it seems a very basic thing that I would expect with any purchasing system.
