I have two users that reported me the following. They have both been working simultaneously in a excel file and throughout the day everything seemed to be working correctly, with both changes being correctly propagated and visible to both sides.

However, later in that same day, when I tried to reopen the file again to do a double check, I got an error saying that the file was in use. I thought it was again the typical sync situation and tried to wait a while to see if it would go away.

I decided to close the Office applications on my Mac and reopen them, to see if that would help speed up the process. When I finally opened the file again, I noticed that all the latest changes had been lost, and my user had automatically overwritten it with a previous, outdated version, which must have been cached somewhere (since the later changes had already been made and were visible to both contributors).

Is there any way to verify what happened in this situation?

Are these users trying to co-edit the file using Excel on the PC, or the Web-based Excel? Because you can’t co-edit a local-only file, AFAIK.

Yeah, that’s not true co-editing and they will continue to overwrite each other. They’ll need to open the file from Web Office tools, as it saves a cached copy in OneDrive/SharePoint while they’re making changes real-time, then when they’re done overwrites the ‘final’ copy on-prem.

Are both users devices configured for autosave, if not, then the last file and sync will overwrite the work that has been done.

Right click the file and view history if you want to restore to an updated version.

yes, they are using auto-save, besides work in online mode is there any more “best pratices” for this situation?

If this is OneDrive, make sure both parties are signed in to the client on their devices.

The web isn’t strictly needed, but if using the apps, then OneDrive needs to be signed in and syncing.
