My name is Andrei and I am currently running all my purchases via email and spread sheets. Saw the Spiceworks tool and played a little with it, liked the reports section but I still have a lot of questions and can’t find anything that I can relate to.

How much flexibility does the purchasing module offer? First thing I saw was that the vendors cannot add ETA’s to the order and also the purchaser cannot select one item from a vendor and another item from other vendor withing the same PO. I am mostly looking for an ERP that can aid on P2P not Category Sourcing so it is important once my ticket enters the bidding stage to be able to gather all the information in one place.

The workflow that I see fit for a light alternative is:

  1. The requester creates a ticket that is sent to the manager for review and approval.

  2. Once the ticket is approve it is sent in a queue where it awaits to be quoted.

  3. When there are several tickets, the purchasing team submits team as a single PO to the selected vendors.

  4. The vendor part is it pretty stable but imho every vendor should be able to see the order, to add at least: cost, ETA, discount, alternative, shipping, handling quotes for each item.

  5. Once every vendor completes their bids all the costs should be returned to a bidding page where the purchasing team can compare each item the quotes submitted by every vendor and pick the right ones from them (in some cases the ETA might be more important than the price).

  6. Every vendor receives what items that they bidden for from the PO were won by them.

  7. The last part with the invoice processing should be alright as designed by the SW team.

Would also be great if we could use the PO’s created to mark items with internal inventory codes and upload invoice + warranty , this way we would you is as a library database.

If that is impossible, could someone “draw” me the workflow that Spiceworks is currently using and the limitations?
