Hello, I have a question on the MITEL phones. My directory of Intercom extensions and names has disappeared. Can someone please tell me how to reprogram so that the names are on the screen. The person who managed the phones before is no longer with the company so I’m not sure if there is a login to perform this function. I have looked through online manuals but get no where, also called Customer Support but they want to charge me for help with this. Thank you in advance!
Hi Pimiento -
The Telephone Directory form within the Embedded System Management, or programming interface is what is often used to create the directory. As users are added to the system using the Users and Services form, if the first/ last name of the user is input this will automatically populate the Telephone Directory. You do need a username and password in order to log in to the system to program this. Your vendor, the dealer from which you purchased the system, should be able to help you with this. Please let me know if you have any more questions.
Hi Eric,
Thanks for the quick reply. I have contacted our Sales guy and he suggested sending someone out to set this up which will costs us. Our phone systems have been in place for several years and we do not require any more “training”. All employee names and extensions are already in the phone. But this week they disappeared from my main screen. When a call came in I was able to select the button next to their name and the call would go directly to their extension. I have also asked the Sales guy for our user name and password because the person who managed the phones before is no longer with the company, she was fired. So we are stuck! We have been leasing our phones for several years, so we pay monthly for these phones, why can’t they give me that information so that we can manage things like this ourselves?
Hi Robin -
What you describe in this second message sounds like you are using an attendant console to answer phones. If you are using the 5550 IP Console, it may simply be that the application is somehow not pointing to the correct file on your PC. Trying clicking on the help button within the console application to see if there is information there that can help you repoint to the correct file. Having said that, it is definitely something your vendor should be assisting with. Whether they ‘allow’ you to log in to your system is dependent on the maintenance agreement you set out with them.
Eric,
We are using the Mitel 5340 IP Phone system. I have searched through the screens on the phone and do not see a Help Button. The first picture is what everyone else’s phones look like (with Extension names on right side). The bottom picture shows what my phone screen looks like (no names on the right side). I’m sorry to be such a pain, I was hoping this would be something simple to fix, but so far it doesn’t look that way : (
Hi Robin,
Your Mitel phones are connected to a MiVoice Office. Sorry for the confusion. The information above is for the MiVoice Business system. You may have inadvertantly switched your keymap. To switch it back, press your Feature Key (the one with a circle around the x) then 399. It will say either Alternate Keymap or Primary Keymap. If it says Primary, your buttons should return. If it says Alternate then repeat the steps to get the Primary back.
Next, you may have lost your programmable keys. The keys can either be set in programming or by the user. Press the special key, the 397, push the button you wish to program and enter the extension of the person you wish to see on that button.
Let me know the outcome.

Well Eric you are absolutely AMAZING and so helpful. I have spent days and hours researching through manuals, emailing my sales rep, and googleing help for this. I only had Alternate keymap and Standard keymap and that didn’t work by switching between those, it was that the programmable keys were lost. I went through your steps “pressing 397” and was able to program each button. I now have the names back on my screen! Thank you again for your time and patience with me! You have made my day, my week!
Have a good rest of the week, blessings to you!
Robin
