I am looking for a good way to get my field people organized in how they can electronically capture reciepts for their jobs. The majority of these folks are working out of job trailers at remote locations. Currently they have a pile of reciepts and wait until the month to scan them and get them into our payment processing system. Inevitably they will lose some of them during the month or get them into the system late. If there was a way at the time of purchase that they could electronically capture them it would be a boon to our accounting folks in the office and would make month end go a lot more smoothly. I know some places like Home Depot can email your receipt, but not all offer that option.

We have Google Apps for Work and there is an option on the phone to scan to drive, but the resultant quality leaves something to be desired.

Visioneer makes a mobile scanner series called the RoadWarrior. We use them in a large construction industry for our foreman and superintendents. Visioneer has a scanner that use an SD/USB storage too so no computer is needed to scan them or you could use an EyeFi to make it wireless to a phone or tablet.

Which model of the Visioneer has the internal storage or the ability to use external media?

Any multi-function printer that has memory card slots (well any I have ever used) can scan directly to a memory card, and some can scan to a USB flash drive. That would be cheapest and easiest, most likely, but would still require they have an office to scan things.

Fujitsu makes the ScanSnap line of mobile scanners that tend to work well, but I have not used them in a few years. They also tend to be somewhat pricey.

I’m guessing (but haven’t researched) that other companies have similar products. I know Logitech had a popular scanner like you are requesting years ago, but don’t see it n a quick search.

If you have a purchasing account established with a company like CDW, they can recommend a product they sell. In some cases you can get in touch with CDW and have a customer service rep help you find something suitable you could buy from them and establish a relationship. That all depends on how hard you want to work for it, though.

I am looking for more of a mobile solution. I have seen a few different ones that are mobile as well as wireless with an SD slot. THis is more for the guys in the field that go into a store, purchase something and jam the receipt into their pocket never to bee seen again. I am waiting for the day all retailers offer the option to send electronic receipts.

I got a few of our foremen to use the CamScanner app on both Android and iPhone. It can correct photos like a scanner and email them in PDF format, but if you want something with more data I still suggest looking at Zoho Expenses. Zoho Expenses is designed for that sales guy who spends months at a time abroad and needs to keep track of his expenses, as well as report them back to office on a schedule.

Do they all have smart phones? if so look at the Office Lens for microsoft

There is a scanning function for Google Drive on Android as well.

You could always go out and get a receipt scanner for the desk so every time you get a receipt you can scan it and it will manually log all of your receipts into a program.
