We’re looking for a software to help us manage around 50 Android/Samsung tablets in a conference room. All these tablets will have the same PDF file loaded on them, and this will be the sole-purpose of these tablets. It would be nice if there was a centrally managed software that could push/force load this PDF to all the tablets, and the end users can freely scroll through the document.

We haven’t bought tablets yet, so if there’s some specific device requirement then we’re open to that (not apple devices though because price). All of the tablets will be in one room and connected to Wi-Fi. This will be a used several times going forward, so we don’t want to lease anything. We are open to conferencing software like Zoom, but we haven’t used them before so we don’t know the functionality limitations.

We do also have security concerns. The content on the tablets will not leave the room. So we hope to lock down the tablet to one or two apps, but that’s much simpler then the above request.

To make sure I understand your question, it sounds like your org is preparing to purchase 50 Samsung/ Android tablets with the main purpose of using the tablets to display a PDF for participants to follow along.
GoTo has a conferencing software solution that has the ability to host live or pre-recorded events with GoToWebinar . With GoToWebinar you can attach handouts like the pdf while also embedding a variety of engagement tools. Users could use the tablets to connect to the virtual meeting to access the PDF. From your description though, it sounds like you’re looking for a mobile device management (MDM) tool that can be used to set group policies for all the tablets all at once while also setting secure settings that limit the functionality of the tablets beyond viewing the PDF. Our solutions for remote management are more geared towards supporting one device at a time. My best advice would be to seek out an MDM for this task and am certain you’ve come to the right place. Hopefully other community members can offer up some other suggestions that may be better suited to your usage case.

There are a number of MDM solutions for Android. A solution such as this one (grabbed at random) allows you to:

  • Maintain all the devices from a central location
    • Remotely install and update the app used for displaying the file

    • Remotely distribute and maintain the file for display

  • lock the machines into Kiosk mode so that they only run the app/file you want them to see
  • Keep track of the physical location of the device
    • If an attendee walks out with a tablet, you would know where it went and potentially arrange to recover the device
  • Inventory Management
  • Send live messages to all, or individual/select devices
  • Could be used to distribute additional information
  • Could be used to contact an individual attendee without needing to use email
  • Could be used in conjunction with the geolocation to message the person who walked off with the device telling them to return it

I don’t have a particular recommendation, but a system like that seems a better fit than the teleconferencing solutions that have been offered above.

Lock the device down with the loaded software. Then you can restrict certain areas of the screen if needed as well.
