Today I was somehow able to convince a user to empty her deleted items folder to free up some space in her mailbox. How many people have users that create folders to organize the messages within their Deleted Items?

Yay, congratulations! Does that mean she’ll stop using it for permanent storage? I think I finally talked the last of my users who was doing that out of using deleted items to store her important messages about 6 months ago. I never thought I would have to convince someone not to do that, or that the convincing would be so difficult.

We don’t have people that create folders in the “Deleted Items” but most do use it as a catch-all folder.

Nice job! And, yeah, I’ve seen this more than a few times. They always call me up asking why they’re getting the warning from the Exchange server that they are approaching their limit when they only have 3 items in their Inbox.

Back when I was doing helpdesk stuff, I always found a way to bit a bit of an ass, but in a humorous way so the employee didn’t hate me. So when I saw people open emails out of their trash bin I would say something along the lines of “Did you just open that email from the Deleted Items folder?” once they confirmed I said “Oh? Did you eat your lunch out of the trash too?” Or I’d just remind them that sometimes in the back room we get bored and randomly purge all the deleted item folders and that they should really actually use their inbox and folders the way they are supposed to.

we have several people who do that… sub folders within deleted items. one user has over 8k emails stored in deleted items and refused to purge them.
I tried to use the analogy of storing regular mail in the garbage… but we actually have one person who does this with their actual garbage can (they have a note on it for the janitors to NOT empty their garbage can).

I would fire them. I can’t imagine getting any useful work out of someone that stupid. At the very least, I would set a rule on their computer to purge the Deleted Items folder every night and I would then put their sign in their garbage when they leave for the day so it, and everything in the can, are gone the next day.

One of the guys I have that does this is a company owner. He is, without doubt, the hardest working person I have ever met. He’s a great guy, normal in all other aspects of his like, except this.

I just don’t get it…you deleted them for a reason. Let them be gone. You’re using up precious space.

We started capping our users at 5gb for their mailboxes this year, some of them are right at the limit.
I guess it is too hard to archive your mail.

When people do this I always ask them: at your house, do you store all your important files in a garbage can or a file cabinet? That usually gets the point across. It has a garbage can icon for a reason people. Lol

My company doesn’t have any people that do that as far as I can tell. Which is a good thing, I’d make fun ofthem to know end.
