This post here: http://community.spiceworks.com/topic/96699 inspired me to put into words/text my company’s policy in regards to computer use in our practice. I looked all over and finally found a basic one on the MS Office template site, after a few hours of tweaking and such I think I have built a decent policy for us to live by.

We’re a medical practice, so some of the items in there (HIPAA) may not apply to you, but feel free to take and use this in your own organization.

As a disclaimer, I am not a lawyer or legal expert. Please submit this policy to the proper legal/HR people before you implement it. I cannot and will not be held liable for any content contained (or not contained) herein. (I think I have been writing in Legalese for too long…sheesh)

All computers, smart devices and

associate network is monitored by XYZ company

Users (authorized or

unauthorized)have no explicit or implicit expectation

of privacy. Any or all uses of

this system and files may be intercepted,

monitored, recorded, copied,

audited, inspected, disclosed to management

of XYZ company and law

enforcement personnel, as well as authorized officials

of other agencies. By signing

this document the user consents to such interception, monitoring,

recording, copying, auditing,

inspecting, and disclosure at the discretion

of the management of XYZ company.

Unauthorized or improper use of

this system may result in

administrative disciplinary action to include

termination with cause and civil

and criminal penalties. By continuing to

use our system you indicate your

awareness of these terms and

conditions of use.


ALL EQUIPMENT IS THE PROPERTY OF

XYZ COMPANY IS NOT FOR PERSONAL USE.

In the 5 years since I wrote this, I’ve moved to a new organization that doesn’t have a policy in place, but they do have a statement such as this. One without the other, however, is sort of impossible to enforce.
