I’m having issues with scanning from a Ricoh Aficio MP W3601 to just one system on a small workgroup network. For all other users the scan-to-folder option works to scan to their system. Just 1 system is having the issue. The connection test on the printer fails every time.

All the laptops that are being scanned to are Windows 11 Surface Books. I’ve checked that network discovery and file and printer sharing are on. I can access the folder on the user’s laptop from my laptop and I can create a test txt document when I am on their network so permissions are all set. I can ping the system by IP address and name. I’ve tried creating a new scan-to option on the printer but that fails to get to the folder as well. I’ve turned the firewall completely off on the system but that didn’t help. They do have Eset on the system and I paused it and that didn’t make any difference. I did not uninstall though.

I’m stumped on this one. Any ideas from the community?

Check if the folder is shared with everyone and has read and write privileges.

Try doing a manual entry directly from the scanner function screen by entering \computer IP address then press the browse button. This should get you to a login screen. Try a valid username and password. This should allow you to browse to the shared folder.

Check if SMBv1 is enabled on the system not working.

I can get to the folder via File Explorer from my laptop when I’m on site using \SystemName\Share or \System IP\Share and I can create new text files so permissions are fine.

SMBv1 is on.

The browse button also fails like the TEST button.

Does the Ricoh require you to enter authorization credentials. If yes a couple of odd things I have run into:

  1. User name needs to be entered as "computer name\username

  2. The username Windows uses for login is different from the username that actually shows when you click on task manager and look at logged in user. I think this is related to having a Microsoft account entered on the system and then logging in with a local user name. I have not looked too far into this because I have always been able to work around it.

No credentials required to access the share. Their previous IT provider had “Password Protected Sharing” turned off. I left that as is for now so that there’s one less thing to worry about.

Did you also add the ‘EVERYONE’ group to the NTFS file permissions on your share? Seems to be required as the feature does not work like the old ‘Share Level’ security.

Also you need the Network Type setting in the WiFi config to be ‘Private’ as unprotected sharing is not allowed for ‘Public’.

May not be relevant but this could be blocking. Were these Surface devices originally Windows 10 and then upgraded? If so, I have had instances where previously set permissions ceased to function as expected.

Have you tried wit the Firewall and/or A/V off

check your SMBv1 settings as some scan-to-folder operations use this still

Have you checked time sync for both the printer and the offending device? I banged my head against the wall for a really long time before I realized that a printer was 6 minutes off and couldn’t connect to the folder because of that.

Delete/recreate share on PC. Reassign proper permissions.
